Job Summary:

We are looking for an experienced and organized Events Planner (Contractor) to manage and execute events from conception through to completion. You will be responsible for the planning, coordination, and implementation of all aspects of our events, including international dinners and receptions, corporate panels and roundtables, and corporate summits of no more than 400 registrants, ensuring they align with our values and meet our organizational goals. The position will be managed by the Head of Communications & Operations while working cross-functionally with our Programming and Engagement teams to ensure all aspects of the events meet our broader organizational goals.

This is a flexible, project-based role that requires a self-starter with a track record of delivering successful events globally.

Key Responsibilities:

  • Plan, organize, and execute a wide range of domestic and international events, including international receptions, corporate panels and roundtables, and corporate summits of no more than 400 registrants
  • Manage the tracking of event registration requests, RSVPs, and invitations, ensuring accurate and timely data entry, and provide regular updates and detailed reports to internal staff on attendee status, engagement metrics, and any follow-up actions required
  • Collaborate with internal teams to define event objectives, target audience, and themes, ensuring that events align with the UNGC principles and cater to region-specific needs and cultural nuances
  • Manage all event logistics, including venue booking, catering, transportation, equipment rental, and more, with attention to international vendors, time zones, and travel coordination
  • Source and negotiate with vendors and suppliers globally to secure services within budget
  • Coordinate with international venues and local service providers, ensuring compliance with local regulations and customs
  • Develop and manage detailed event budgets and timelines, ensuring adherence to both, particularly in managing costs for travel, shipping, and taxes
  • For international receptions and dinners, manage cross-border communication, dealing with different languages, cultures, and time zones to ensure seamless event execution
  • Ensure event-day activities run smoothly, including developing a run-of-show and providing on-site management (in-person or remote)
  • Provide post-event evaluation and reporting, including insights on international logistics and audience engagement
  • Maintain excellent communication with all stakeholders, internal and external, to keep projects on track
  • Stay up to date with global event trends and best practices to implement innovative and culturally sensitive ideas

Qualifications:

  • 5+ years of proven experience as an Events Planner, Event Coordinator, or similar role, with a track record of managing both domestic and international events
  • Strong project management skills with the ability to handle multiple events across different regions simultaneously
  • Exceptional organizational skills with attention to detail, particularly in managing complex international logistics
  • Excellent negotiation and vendor management skills, including experience working with international vendors and suppliers
  • Proven experience in client-facing roles, with strong interpersonal, communication, and professionalism skills to effectively manage client interactions and ensure satisfaction throughout the event planning process
  • Ability to work independently with minimal supervision and as part of a larger team
  • Proficiency in event management software and tools (e.g., Swoogo, Eventbrite etc.)
  • Flexibility to travel as needed for event execution

Preferred Qualifications:

  • Experience managing both virtual and in-person events across different countries
  • Experience in organizing environmentally-friendly events or events aimed at limiting carbon footprint and impact on the environment
  • Creative flair for event design and presentation, with experience in culturally diverse settings
  • Familiarity with budgeting and financial management for international projects, including currency exchange and international tax considerations.
